Corporate Event Gifts in India: The Complete Planning Guide for Events and Tradeshows

Your tradeshow stall competes with dozens — sometimes hundreds — of others for the attention of people who are tired, overstimulated, and carrying heavy bags. In this environment, your branded merchandise is one of your most powerful tools. It draws people in, rewards engagement, and keeps your brand visible long after the event ends.

Setting your event merchandise objectives

Before choosing any product, define what you want your merchandise to achieve:

Booth traffic: visible, desirable items that draw visitors to your stall and create curiosity

Lead engagement: higher-value items for visitors who scan their badge, attend a demo, or book a meeting

Brand recall: daily-use items that keep your brand visible at home and in the office long after the event

Team identity: branded apparel that makes your stall look professional and your people easy to identify

The three merchandise categories every event needs

Category 1: Broad distribution (Rs.150-Rs.600 | 500-2,000 units)

Purpose: booth traffic and broad brand impression.

Branded tote bags, quality notebooks and pens, branded stickers

Phone accessories (stands, cable organisers) — high perceived value at low cost

Curated snack boxes — unusual, shareable, and remembered

Category 2: Qualified lead gifts (Rs.800-Rs.2,500 | 100-500 units)

Purpose: memorable impression at critical sales moments.

Premium insulated bottles or tumblers — used daily, excellent brand recall

Tech accessory kits — wireless charger + cable organiser in a branded pouch

Premium notebook and pen set, or a curated 3-item hamper in a branded box

Category 3: Team apparel (Rs.600-Rs.2,000 per team member)

Purpose: professional, cohesive brand presence on the event floor.

Polo shirts or branded jackets in company colours — coordinate with your stall design

Comfort-first fabrics — your team wears these for 8-10 hours straight

Individual names on apparel and a backup set for multi-day events

The event merchandise planning timeline

10-12 weeks before: define objectives, quantities, budget. Brief your gifting partner. Send apparel sizing survey to your team.

8 weeks before: finalise product selection, approve designs and artwork, place all customised orders

4 weeks before: full order dispatched. All merchandise received, quality-checked, packing list prepared.

Event day: merchandise organised by tier at the stall. Team briefed on distribution protocol — who gets what, and when.

Artwork and branding requirements

Poor artwork preparation is the most common reason for delayed or incorrect orders. Always provide:

1.      Vector files (.AI, .EPS, or outlined .PDF) for all logos — never JPEG or PNG for print

2.      Pantone colour codes for brand colours, not just hex codes

3.      A simplified logo version for small placements such as embroidery or engraving

4.      Brand guidelines including minimum clear space, and any required legal copy

Stall setup and post-event use

Display broad distribution items on a branded stand visible from 5 metres. Use a "gift on engagement" mechanic — visitors see the premium item and understand they receive it after a meaningful conversation. Brief your team to present gifts actively rather than silently handing them over.

After the event, send remaining premium stock with follow-up emails, use it for upcoming client visits, and photograph the team in apparel for LinkedIn content.

International events: additional considerations

Add 4-6 weeks for international shipping and customs clearance

Check destination country labelling requirements for textile products

Budget for import duties — these vary significantly by country and product category

For very large volumes, consider local production in the destination country using your artwork
